How does it work?

We have summarised the typical process when we are asked to venue find; A) From your venue enquiry we begin the process of understanding both your objectives and expectations we must exceed. B) We immediately research and filter those venues likely to match your needs, through our inhouse databases and experience. C) We then start engaging directly or through head offices managment teams checking for availability. With all those that do have availability, we collate each venues proposal including the upgrades and services that add incentives for you to consider. Of course it goes without saying, (understanding the different products on the market), we push hard to get the best discounted rates. D) A presentable summary of all the options are put forward for your feedback aiding cross comparisons including photographs, floor plans and flexibilities of the venues. E) For any shortlisted venues you choose we then organise the important site visits for you, so all lead organisers get the feel of the venues as well as meeting the venue teams that could be looking after your event. F) If you wish to contract a venue we will orgainise and sanity check all contracts for you to ensure all terms and conditions are clear and workable. G) We then remain on hand to assist the venues or you whenever needed leading upto, during and after your event has past. H) We follow up ensuring proper analysis and to ensure standards like key performance factors have been achieved in line with the industry and yourself.

Do you follow codes of conduct?

We are a big supporter of three trade organisations and the work they do - The Meetings Incentives Conference and Exhibitions (MICE) Industry, the Hotel Bookings Agents Association (HBAA) and the Meetings Industry Association (MIA), a recognised professional trade organisation for the conference industry in Great Britain and Ireland. In a industry which is renowned for a wide range of differing standards, the MIA offers reassurance to conference and meeting buyers.

Do you just source venues?

No - the complexities of organising events does not need to be daunting and appreciating how busy our clients are and where event briefs can change, we can be involved in more than sourcing venues for the event. We provide experience in all types of event planning, bringing together options for stage set ups, AV productions,  entertainment, keynote motivational speakers and team building options if and when you need them, ensuring all areas are co-ordinated through one hub to make sure your events achieves its objectives and to be memorable for all the right reasons.

Only when our clients are wishing to confirm one of our options are we paid an industy standard commission or introduction fee for that booking. This fee is not passed onto you in any way and because we place millions of pounds annually our buying power enables us to negociate further with venue accounting teams which are passed 100% directly to you. delegate-it! has been known in the venues industy since 2000 and we have accounts with all major hotel chains and thousands of independents. Our contacts listing stretches to over 10,000 UK venue options with direct access not just to front line staff but also head office managers. These personal connections keep us informed of industry changes and to new products and services.

IATA TIDS

The IATA TIDS number is allocated to facilitate the identification of delegate-it! with World wide hotels for making and guaranteeing reservations. TIDS numbers (Travel Industry Designated Service codes) are issued and managed by IATA (International Air Transport Association) in Switzerland.
